No one wants to have a boring event, we all desire to have that splendid and sought-after event. Picking the right event venue has always been a major issue especially picking venues for wedding, receptions, birthdays, seminars etc.
The most important aspect of a successful event is the venue. It is usually the first step in the planning phase because everything from decor, decisions to travel and arrangements depends on your choice of venue. It’s best you book a venue at least 4-6 months in advance so that you will have enough time to plan other critical things, such as catering, event brochures, and websites. Here are some things to watch out for while trying to get the right venue for events.
Budget
It goes without saying that your budget is the most important thing when it comes to your venue decision. The budget is a great influence on the type of location to be used. Compile a budget and allocate funds to venue hire, catering, entertainment, etc. Sometimes it’s better to choose a venue that is below your budget and spend a little more on things like decor, catering etc. to give your guests a memorable experience at your event.
Location
You’ve probably already considered this as it’s the second most pressing issue after getting the budget worked out. For a local event, you may be looking for a venue within a reasonable distance from most attendees’ homes or places of work. If many attendees will be traveling from out of town, a venue near the airport or their hotels will be beneficial. In whichever case, don’t forget to consider traffic, transportation, and parking options as you want your guest to feel at home while away from home.
Number of guests
The amount of attendees is important in your decision making. A party with 40 guests requires a lot less than a wedding with 350 guests. Compile a rough estimate of how many people will attend your event and choose a venue based on its maximum capacity.
Some event hosts assume that a few guests won’t attend and invite more people than the venue can accommodate. If all accept your invitation and arrive at the venue, you will risk the safety of your guests as venue capacities are based on fire and safety codes.
Amenities
If you plan to serve meals at your event, make sure your venue has a fully equipped kitchen or pantry. Some venues even have their own kitchen, clean up, and bar crew. You need to confirm if these things are included in the hiring cost of your venue because extras like staff will save you overall time and money by eliminating the need for third-party crews.
Accessibility
Accessibility refers to the possibility that everyone, especially those with special needs, can access the building and its amenities. Before you can answer this question, you’ll need to understand who your attendees are and what their needs are.
You’ll probably know whether there will be children at your venue, but you may not know if there will be individuals with other special needs. In this situation, reviewing recent events hosted by your organization may give you a sense of whether this will be the case or not.
